After your form is submitted, our Food Vendor Coordinator will follow up with you with more information about your acceptance, the registration process, and the day of the event logistics.
Please note: filling out this application does not ensure acceptance. Space is limited, and we reserve the right to select international-themed food and curate vendor variety. Please read these provisions and guidelines carefully as many things have changed from previous years. Submitting your application means that you have read this entire document and that you agree to the provisions and guidelines.
Fees/Payment: $200 per space. $100 refundable grease/trash/cleanup deposit per vendor. To be included in festival printed materials (poster & printed map) payment is due 8/7/20. All payments are due by 8/2/19. We prefer payment by check or money order. If paying by credit card, there will be an additional processing fee of $35. A $50 charge will be assessed for returned checks. Additional governmental fees such as Health Department fees may apply as well. The refundable grease/trash/cleaning deposit is required, no exceptions. This deposit will be returned by check not later than 30 days following the festival if vendors comply with grease/trash/cleanup guidelines.
Method – Checks can be made out to FairField Center and be sent to or dropped off at 111 E Market St B, Harrisonburg, VA 22801. Cash may be delivered there as well. Cards are processed through FairField Center’s Services Payment page (select CIVIC ENGAGEMENT as the Service Branch).
What We Provide: A 10×20 booth space and 1 eight-foot table is included in your registration fee. Your water source, heating equipment, signs, other equipment, etc. are your responsibility with rare exceptions. Electricity may be available depending on how much you need and where you are placed at this event.
Refund Policy & No-Show: Once formal registration/payment is submitted and a vendor determines they must cancel, a 50% refund of the space fee and 100% of the cleaning deposit may be requested within 7 days of the original payment. No refunds will be given after Aug 31, 2020, regardless of circumstances. Any food vendor who has not arrived by 10:00AM on the day of the festival, and who has not notified the event coordinators of a late arrival will be considered a no-show and will have their space re-assigned, with no refund given.
Beverage Policy: No alcoholic beverages may be sold from your booth at any time.
Grease, Cleanup, and Trash: All food vendors must provide ground cover inside their booth and cooking area for the absorption of grease. No food vendor will be allowed to open if the ground cover is not in place. No grease or grey water is to be poured onto the ground or down any drains. Anyone found doing this will be asked to leave and will not be allowed to participate in future events. You will be responsible for any and all environmental cleanup costs and subject to prosecution by city or state officials. Trash: Vendors are responsible for collecting and properly bagging trash within your sales location. Our clean-up crew will collect properly bagged trash from outside of your sales location. Failure to comply will result in revocation of the $100 grease/trash/cleanup deposit refund.
Water and Ice: Water, ice, grey water tanks, and grease disposal tanks may or may not be available. Please inquire about your specific needs at the time of registration and be prepared to bring appropriate hoses, hose connections, and transport buckets.
Attendance: This is a rain or shine event. In good weather 9,000 people are expected. Please plan accordingly with the understanding that bad weather could lessen the number of attendees. Information about entertainment and other vendors will be made available to all participants and attendees.
Liability: The International Festival and International Festival Committee, Harrisonburg Parks & Recreation and all their representatives are not responsible or liable for damages including, but not limited to, loss suffered before, during, or after this event. Organizers assume no responsibility or liability for a vendor’s participation in the Festival and will be held harmless. Vendors are responsible for their own merchandise against damages or theft. Vendors are also responsible for any type of accident to themselves, to other vendors (and other vendors’ inventory), or to any person or personal property as a result of their booths, their merchandise, or their personal actions. Submission of application indicates agreement to hold all aforementioned entities ‘harmless’ in case of accident or incident.
No Tolerance: No politically or religiously partisan, adversarial, disruptive, or objectionable content or messaging will be permitted as part of the festival. No real or toy weapons, drugs, or drug paraphernalia, or items that may be deemed harmful, contributing toward violence, or dangerous may be sold, carried, or promoted at the festival. We ask that all merchandise and art being displayed, or music offered be of a nature that is acceptable for young children to view or hear.
