21st Harrisonburg International Festival

Food Vendor

To start your application process as a food vendor at the 2018 Festival, please submit the following interest form.

After this form is completed our Food Vendor Coordinator will follow up with you with more information about your acceptance, registration process, and day of the event logistics. Please note: filling out this application does not ensure acceptance. We reserve the right to preference international-themed food and ensure variety. This year we have an entirely new than in the past due to a new setup. Please read these provisions and guidelines carefully as many things have changed. Submitting your application means that you have read this entire document and that you agree to the provisions and guidelines.


Application Process:

  1. Please fill out the interest form.
  2. DO NOT send any payments at this time. 
    1. Deadline to Apply: July 15
    2. Acceptance notified by: August 1

We will consider your application for each event we have for the year and will notify you if you will be invited to participate with us at a festival. Again, sending an application does not guarantee acceptance.


Fees/Payments:

Cost – $200 per space. Payment is only due once you have been accepted. We prefer payment by check or money order. A $50 charge will be assessed for returned checks. A separate cleaning deposit check may be required for certain events if vendors abuse the clean up process.

Method – We accept payment by credit/debit card, check, money order, or cash. Cards are processed through FairField Center’s Services Payment page (select Harrisonburg International Festival as the Service Branch). Checks can be made out to FairField Center and be sent to or dropped off at 111 E Market St B, Harrisonburg, VA 22801. Cash may be delivered there as well.

Deadline – As mentioned, you will be notified on August 1 of your acceptance. Your payment and all necessary Health Department documentation is due on August 10. If we do not receive your payment and necessary documentation by then, your space will be assigned to another food vendor.


What we Provide:

Again, this year we will have an entirely new process than in the past due to a new setup. Please read these provisions and guidelines carefully as many things have changed.

  • We provide you an area to set up your food truck/booth that is approximately 10×20. It will be near electrical hookups (please see guidelines below).
  • 1 eight-foot table.
  • Your water source, heating equipment, signs, other equipment, etc. are your responsibility with rare exceptions
  • A copy of the Festival program with your information included.

Food Vendor Guidelines

  • No vendor will be allowed to serve water. Water sales will be exclusively to the International Festival Stand.
  • No alcoholic beverages may be sold from your booth at any time
  • Please consider using environmentally friendly “green” service ware.
  • In effort to ensure the Festival is as peaceful as possible, we will not be allowing generators of any kind. You will have access to electricity at your assigned location.
  • All food vendors need to be ready by 11:00 a.m.
  • Vendors will not be allowed to leave the Festival until the event is over and the roads are cleared of major pedestrian traffic (beginning at approximately 6:30pm).
  • You must provide proof of Department of Health compliance and any additional payment of fees associated with that.
  • The Fire Department requires that all food vendors provide 1 fire extinguisher of a 2A rating.
  • The International Festival is a rain or shine event so there are no refunds.
  • The Festival reserves the right to place vendors in appropriate spaces to allow variety of cuisines in various area.
  • Trash: Vendors are responsible for collecting and picking up trash in and around their booth areas. Trash can’s will be available onsite.

Refund Policy & No Show: Any food vendor who has not arrived by 11:00am, and who has not notified the event coordinators of a late arrival will be considered a no-show and will have their space re-assigned, with no refund given.

No Tolerance

  • No politically or religiously partisan, adversarial, disruptive, or objectionable content or messaging will be permitted as part of the festival
  • No real or toy weapons, drugs, or drug paraphernalia, or items that may be deemed harmful, contributing toward violence, or dangerous may be sold, carried, or promoted at the festival
  • We ask that all merchandise and art being displayed, or music offered be of a nature that is acceptable for young children to view or hear

Liability

  • The vendor assumes full responsibility for his/her participation in the Festival. HIF Committee, Harrisonburg Parks & Rec, Harrisonburg Downtown Renaissance, or other Festival affiliates—assume no responsibility or liability for a vendor’s participation in the Festival, and will be held harmless.
  • Vendors are responsible for their own merchandise against damages or theft.
  • We are not responsible for damages, injuries, or loss.
  • Vendors are also responsible for any type of accident to themselves, to other vendors (and other vendors’ inventory), or to any person or personal property as a result of their booths, their merchandise, or their personal actions.
  • Submission of application indicates agreement to hold all aforementioned entities ‘harmless’ in case of accident or incident.

Attendance

  • In good weather 9,000 people are expected. Please plan accordingly with the understanding that bad weather could lessen the amount of attendees
  • Food vendors will have copy of the program and list of other food vendors coming to the Festival
